NOTES:

1. Treasurer.

  Find out how charity banking has to work.

  Buy a copy of Quicken or other appropriate accounting program and set up the books

  Develop a budget. 

  Manage revenue and payments including tax receipts for amounts =>$50.

  Prepare statements. 

2. Ways & Means. Primary Tasks:

Develop and implement a Marketing Plan (AIM to find sponsors and teams to participate)  

See LSN Fundraising handbook.

Identify large & Medium sized companies in the Region of Halton that may have a charitable Interest.
Contact the Town of Milton looking for participation
Obtain a listl of companies with over 50 employees
Poll MLBC members for company leads
Contact MLBC Renters over past three years
Contact the Media looking for participation, donations & publicize the event
There is a secondary requirement to obtain raffle, Silent Auction and door prizes
Obtain raffle tickes and support materials. Awards of prizes
Ensure any lottery licences are obtained
Probable storage of raffle ticket stubs for seven years. 

3. Communications and Public Relations

 Identify services and develop contacts (Internet, Radio, TV, Local News papers, Local Townships' websites, other?)

4. Donated & Purchased Services

  First Aid (St Johns Ambulance)

  Portable Toilets (2 or 3) 

  Supply of Food possibly donated by local restaurants and co-ordination of food on an as needed basis. 

  Supply of Coffee 

  Supply of beer (beverage licence to be obtained by supplier)

  Supply of cider (beverage licence to be obtained by supplier)

   

5. Master of Ceremonies 

  Introduction of Main Sponsors & Speakers

  Award door prizes and make the announcements

  Setting the rules and Judging the costumes 

  Ensure a suitable (young/current) DJ is engaged.

 

6. Bowling Co-ordinator's Team

  Provide an opportunity for participating bowlers, friends and associates to jitney bowl. Perhaps Friday nights after work for several weeks before and after the event.

  Train all event participants (before or at the event)

  Track event standings

  Ensure prizes/trophies are available

  Assist Sponsors in makeing awards 

  Prepare a bad-weather plan. (Rescheduling is NOT an option)

7. Registrar & Ticket Sales 

  Prepare a program handout and arrange pringing.

  Obtain arm bands

  Manage sale of e-tickets

  Organize meeting and greeting of Dignitaries / Sponsors / Bowlers / visitors

  Everyone must sign guest book / waiver

  Information booth set up and staffing by MLBC volunteers.

  Courtesy vehicles by MLBC volunteers.

  Parking arrangements with the Town of Milton (if any needed)
